Summer at St. John's Summer 2024 POLICIES

This camp must comply with regulations of the Massachusetts Department of Public Health and be licensed by the local Board of Health.

Camper: Definition

Summer at St. John's operates all summer programming under a camp license issued by the town of Danvers, MA.  As such, regardless of the program a child is enrolled in they will be referred to as a camper and must follow the state laws required for recreational camps (105 CMR 430.00).

Accommodations

Summer at St. John's programs are designed for a wide variety of children and can be adapted, to an extent, to meet the needs of individual campers.  A public accommodation shall make reasonable modifications in policies, practices, or procedures, when the modifications are necessary to afford services, facilities, privileges, advantages, or accommodations to individuals with disabilities.  A public accommodation does not have to comply if it can demonstrate that making the modifications would fundamentally alter the nature of the goods, services, facilities, privileges, advantages, or accommodations.  Accommodations will be considered on an individual basis and supporting documents such as a 504 Plan, Individualized Education Plan, or medical documentation can assist in this process.  Any accommodations that require support must be disclosed in advance - failure to do so may result in the camper being dismissed from the program with no refund.  Any questions regarding accommodations should be directed to Laurel Grady.

Financial 

A non refundable deposit of $75 per child per week is due upon registration that is applied to session fees.

All invoices must be paid in full by May 10, 2024.  Failure to do so may result in a forfeit of enrollment and deposit.  All registrations received after May  10, 2024 require immediate full payment.

Cancellation 

A grace period is offered for any registration canceled in writing and submitted to summer@stjohnsprep.org within 72 hours of submitting the initial registration.  Summer at St. John’s will refund all session fees,, including deposits, if a registration is canceled 72 hours after the registration is submitted.  All documentation will be time stamped for accuracy.

Beyond the grace period, any session fees paid, including for additional services such as lunch, transportation, and Extended Day, are fully refundable up until April 1, 2024, less the $75 per week, per child deposit.  Any deposits paid for additional services are non-refundable.   

From April 1, 2024 until 30 days prior to the program start date, a 25% refund outside of the non-refundable deposit is available.  No refunds will be offered within 30 days of the program start date.  A full list of these dates is provided below.

At the discretion of Summer at St. John’s, balances may be transferred to another program, based on availability, or applied to another immediate family member, based on availability.  When space permits, campers may be able to change sessions for which they are registered.  As of April 1, 2024 a $25 change fee per child will be applied to all registration changes.

Summer at St. John’s does not offer refunds or reductions in fees for campers who are unable to attend a program,, or attends only part of a session for any reason, including illness or injury, including COVID-19.

Summer at St. John’s reserves the right to cancel/change programs at any time. 

Enrollment 

All Summer at St. John's programs are subject to change, and every effort will be made to provide advance notice of such changes.  All Summer at St. John's programs are contingent upon meeting minimum enrollment numbers, and programs that do not do so may be canceled with no minimum notice period.  Every attempt will be made to find those registered for canceled sessions an equitable replacement week, as long as there are spaces available.  If no equitable programs are found, a full refund will be issued.

Camper Health

Campers must not come to campus if they are experiencing the following symptoms:

  • Fever of 100.4 degrees F or higher (children should be fever-free, and without medication for 24 hours before returning to camp).
  • Flu-like symptoms.
  • Sore throat, particularly with swollen glands.
  • Vomiting or diarrhea within 24 hours prior to the start of the camp day.
  • Cold-like symptoms, such as repeated coughing or sneezing, which are likely to spread infection.
  • Significant headache, stomach ache, or chest pain. 
  • Obvious infections such as Chicken Pox (all lesions should be crusted over before returning to camp).
  • Contagious skin diseases such as Impetigo
  • Contagious illness such as Strep Throat
  • Any illness where a child is unable to participate fully in camp activities.
  • Families must follow all updated state Covid Guidance as it pertains to testing, isolation and masking in the guidance for summer camps, as outlined here

If a camper is sent home from camp by the Health Team, an adult from the pick up list must arrive at camp within a half hour to pick up the ill camper.  If a camper is judged ill at the end of the day, we may hold them off the bus and ask an authorized pickup to come and get them at camp.  

Dismissal

Summer at St. John’s r reserves the right at the discretion of the Director to dismiss a camper, without refund, when the camper interferes with the rights or safety of themselves or others, the proper functioning of the group or activity of the group or activity, violations of the camp’s principles of conduct, or if any pertinent information is not disclosed and brought to Summer at St. John's attention at the time of registration. This includes persistent toilet related accidents that cannot be successfully managed by our Health Care team. Should a child be dismissed from a program, an adult from the pick up list must arrive at camp within a half hour to pick up the camper.

Medical Forms

Per 105 CMR 430.00, all emergency contact forms, signed physicals, immunizations, and medical administration forms must be received prior to the above named participant attending camp.  

Campers must have a valid physical form (dated within the last 18 months) uploaded in CampBrain.  A valid physical must have both a dated physician's signature and the language "Cleared to participate in activity" or "No restrictions on activity,' or the like.  These are due by May 1, 2024.  All medical forms must be in English; any medical forms whose language of origin is not English must be translated by a medical translation service.  One such service can be found here

Medications

Any/all medications must  be dropped off/picked up by a parent/guardian.  On the first day of session families must drop off medications at the dedicated Nurse station.  Those families using camp transportation can drop medications off with a Summer at St. John’s bus monitor, but must complete and submit a Medication Form with the medications.  Campers who require daily medications during an off-campus trip  will make a medication plan with the Summer at St. John’s Health Team.

If a camper requires an EpiPen, they must bring both EpiPens in the original box with the prescription label.  All EpiPens must be accompanied by a completed Allergy Action Plan, including a photo of the child..  

Early Dismissals/Late Arrivals

We offer two early dismissal times - 12pm and 2pm.  We ask that you give notice of an early pick up by 10am the day of pickup by calling the Summer at St. John’s Office (978-774-1427) or by emailing summer@stjohnsprep.org.  Due  to the nature of our programming, we cannot accommodate dismissals after 2pm or dismissals that are not scheduled in advance. .

Campers who arrive to program after 9am must be checked in at the Main Camp Office, located in Memorial Gym.  Campers will be brought to their activity/program as and when Summer at St. John’s staff are available to escort them.

Field Trip Attendance

Starting June 26, 2024 campers in Camp Chris Senior Camp will go on a weekly field trip on Wednesdays (NOTE: no field trip is scheduled for 7/3/24).  The Field Trip is the program for that given day, campers must arrive on time, cannot be dismissed early, and must participate in the trip.  No alternative program will be offered.  Campers are held to the community contracts that are created each week on campus, as well as off campus.  

General

Per 105 CMR 430.00, all parents/caregivers of registered families have the right to review background checks, health care, discipline policies and grievance procedures upon request.

Release of Camper

Summer at St. John's is responsible for a camper from the time an authorized person signs them into their enrolled program on the campus of St. John’s Prep or any transportation stop, until the camper is released back to an authorized parent/guardian.   For this reason, it is our policy that no camper is allowed from the campus of St. John’s Prep, or any transportation stops, without an authorized individual to release them to.  All authorized individuals must be disclosed ahead of time on the CampBrain account used for registration.  

Each week Summer at St. John’s will send out an Authorized Pick Up Pass.  This can be shown in lieu of a valid ID to expedite your pick up process.  By using this method of pick up, caregivers acknowledge that Summer at St. John’s will not ask to see identification at pick up.   If you do not want to have your child released to an authorized pick up using the Authorized Pick Up Pass, please contact us directly at summer@stjohnsprep.org prior to your child’s first day of camp.

Photographic Images Policy

In order to portray our programming accurately and vibrantly, Summer at St. John’s makes an intentional effort to publicize our program in a variety of media formats. Photographic images (for example portrait, picture, video, or other reproductions) may be used for educational and/or promotional purposes in print and electronic media. Outlets for publication may include, but are not be limited to, marketing materials, the Summer at St. John’s website, press releases, social media outlets (including, but not limited to, Facebook and Instagram), newsletters, and local newspapers. While the School strives to abide by parent/guardian wishes, we do not guarantee use of a student’s name or image will never occur.  Any family that does not want their child photographed must put this in writing, sent to summer@stjohnsprep.org prior to your child’s first day of camp.

All families must upload a recent picture of their child to their registration form prior to their camper’s first session - this helps us identify children when needed.  This should be completed by May 1, 2024.

Food

Summer at St. John's is a nut aware campus, and as such all food brought onto campus must be nut free.  Shared snacks/food are not allowed and should not be brought to campus for any reason (including birthday celebrations).  

Campers who come to campus without food will be given a lunch prepared by SAGE Dining Services.  Families will be charged the prevailing daily rate for this service.

There are occasions when campers will receive food from us as part of their weekly program.  The Summer at St. John's Health Care Team will check all medical records prior to service and contact families should we have any questions or concerns.  The Camp Store sells a variety of snacks, all of which are published in advance.

Swim

Campers in Camp Chris and Eagles MultiSports Camps will have daily access to our aquatic facilities for recreational swim.  Campers in Exploration Camps, Academic/Enrichment programs, Prep for the Prep, or any other Summer at St. John's program may have access to the aquatic facilities if their schedule allows.  In such circumstances advance notice will be given.  

Safety is our priority throughout any camper’s time on campus, more so at either of the swimming pools.  Summer at St. John's hires a robust team of lifeguards who work under St. John’s Prep’s Director of Aquatics.  All campers using the aquatic facilities receive a safety briefing from a lifeguard before entering the facility, and are constantly observed by trained lifeguards and group counselors.  

Daily swim builds confidence, swim skills, and water safety awareness.  Starting June 24, 2024, campers in Camp Chris Lower Camp and Eagles U8 Multisport Camp will receive a daily swim lesson provided by North Shore Swim Club instructors.  Due to enrollment and facility limitations we do not offer swim lessons to other camp groups.  If swimming is part of the daily program it is our expectation that campers participate, unless they have a physicians’ note.  Those who do not swim will be under the supervision of a camp counselor and will be given a basic activity to entertain them.  Per 105 CMR 434.00, campers must shower before entering the pool.
